Overseeing your company's users
User-level administrators can create and maintain user accounts for their company. The setup tools are accessed from the Setup link in the Admin section of the main desktop.

This view shows you all open accounts and all locked accounts within your company. To edit a user's details, click on the user's name. To create a new user account, click the New User button.

| When you edit or create a user account, you must complete a user information form. The following sections describe the various form fields. Use the Save button to save the data and the Close button to close the window without saving. |
| Login Details |

The system requires each account to have a login name, a full name, and a password. An e-mail address is recommended to receive notification of when supplement requests are completed. If you are editing an existing account, the existing login, e-mail, and full name will appear on the form. Leave the password fields blank if you are editing an existing account but not changing the password.
Passwords must be at least eight characters long. They must contain at least one digit (0-9), but cannot be composed entirely of digits. If you are creating a new account, you may use the Generate Password function to help; it will generate a random password, show it to you, and then place it in the password fields. If you are editing an existing account, you will not see the Generate Password button.
Users may change their own passwords by using the My Account feature in the Others section of the desktop; administrative access in not required to change a password this way. |

The only user preference at this time is the automatic print option. You may choose to select or deselect this option for a user, but the user does have control of this option from the My Account screen.

| Billing |
|

You can set different billing options for each of your accounts. The Use separate invoice? option forces 1 Source Data to produce a separate invoice for this user, rather than simply adding this user's activity to a company invoice.
To use a separate billing address for this account, check the Use separate billing address? option and complete the address information below. If you are not using a separate billing address, these fields can be used to store other contact information, and the system will use the company's billing address for billing concerns.
The Require credit card payment before ordering? option requires users to pay for report orders using a credit card before they can view the reports. You will then need to choose whether they need to pay all related additional charges before viewing a report. At the present time, this function is limited to require payment only for report charges.
To store credit card information for a user, press the Specify Default Credit Data button. Here, you can provide default credit card information that will be automatically filled in when a user pays for the report by credit card. Press Save to save the data and exit, Clear to clear the fields, and Cancel to exit without saving. (To erase information, press Clear and then Save.) The credit card number will not be visible to the user; they will see only the last four digits of the card number. This option will not be available for a new user until you save the account information.

Your CRA can enter a default credit card for your company; however, any information you enter here will override the CRA's default. If you do not specify a credit card, the system will try to use information provided by the CRA. If the CRA has not specified any details, then no credit card number will be stored. |

| Access Permission Locking or Unlocking an Account

To lock or unlock an account, select or deselect the Lock account? checkbox. A user cannot log into 1 Source Data with a locked account. When you lock an account, it is a good idea to include a brief description to explain why you did so in the Reason for lock field. The reason will appear on the login screen when the user tries to log into 1 Source Data with the locked account.
If a user tries to log in with the wrong password five consecutive times, their account will lock automatically. The reason given will be Too many logon attempts. An administrator must unlock the account before the user can log in again.
Access Options

These options set viewing privileges for this account. These options determine whether or not a user is an administrator, whether the user can view other users' credit files, and whether a user can see billing invoices.
If you elect to make this user an administrator, all of these other options will be overridden (grayed out) and forced to be true.
Report Ordering Options

These options control whether a user can order reports and supplements for herself/himself or everyone. The values can be No Access, Order For Self, or Order For All. No Access prevents a user from ordering a new report or supplement. Order For Self allows a user to order reports or supplements on their own behalf. Order For All allows a user to order reports on another user's behalf. A loan processor is usually given Order For All permission on these fields.
If a user is an administrator, your selections for these options will be overridden and locked. Administrators will have Order for All access for both of these fields.
Special Options
The Special Options field controls specific access options for a user. A new window is opened for these options.

These options allow you to prevent a user from ordering credit reports from individual credit repository, from ordering flood reports, or to deny a user access to 1 Source Data's Web interface. A user without Web access is restricted to your custom CreditAPI interface, and cannot use the standard 1 Source Data interface. Check the box next to the options that you want to restrict. Press Save to save and close the dialog; press Close to close it without saving.

| Retiring a User Account |

Once a user account is created, it can not be deleted. Do not ask your CRA for assistance in deleting a user, as they can't erase accounts either.
Although it is possible to change the user name and other settings, we recommend retiring accounts instead of reissuing them to other users. To retire an account, lock the account and leave an appropriate comment in the Reason for lock field. |
| User Security Options |

As an added security precaution, 1 Source Data now allows administrators to restrict access by IP address. With this feature, you can restrict access to a particular network, or even to a specific computer. Press the Security tab to access the Security control panel.
This type of IP address filtering is most effective if you have a network with a fixed range of IP addresses. You should not use this feature if your staff typically uses a dial-up modem to access 1 Source Data, since most dial-up ISPs will assign your computer a different IP address every time you connect to the Internet.

If you leave this list blank, then you will not restricted access for this user. Your CRA also has access to this list, and can edit your changes or add new restrictions. Additionally, your CRA has the capability of restricting access for your company as a whole, and that those settings are not reflected here.
To add a new address (or subnet) to a user's restriction list, press the Add button. To edit an existing entry, select it by clicking on it and then pressing the Edit button. To delete an entry, select it and press the Remove button. (At this time, you can only delete one entry at a time.)

You can also import settings from other users when compiling a security list. Press the Import button to launch the Import dialog. Select one or more IP addresses from the list, and press OK to add them. (You can select multiple entries by dragging the mouse or pressing the Ctrl key or the Shift key on the keyboard while clicking.)

To save a list of restrictions, press the Save button. To return to the user list, press Close. To return to the User Edit screen, click the Edit User tab.
Technical note: At this time, we only allow blocking by specific IP addresses or by subnets that are multiples of 8 bits (i.e., /24, /16, /8, and /0 [no blocking]).
